Our “Total Privacy Policy”

At TheWebMachine Networks and Rebar IT Outsourcing, we take privacy VERY seriously. Forget about endless pages of legal garbage telling you just how your data and privacy will be bought, sold and violated for monetary gain! We have the simplest to understand privacy policies in the world:

  1. We will NEVER sell, rent, or recklessly distribute your personal information to ANYONE for ANY REASON!
    • When you subscribe to our products on AWS on an hourly or annual basis, we receive your First/Last/Company Name, State/Country, size/number of instances/hours ran, ​and your AWS Account ID. This information is supplied by AWS on a non-optional basis via standard reporting systems. 
    • When you contact us for support, we may also ask for your phone number if phone support is requested and part of your Support package. This information is only used to contact you during the course of providing you with support and is entirely optional.
    • When you purchase additional Paid Support Credits directly from us, we are also required to collect Billing Address details necessary to process your payment through PayPal. This information is only used to service your Paid Support account.
    • AWS obtains and utilizes your personal and billing information in accordance with their policies located here. These policies are beyond the control of TheWebMachine Networks and Rebar IT Outsourcing.
  2. We will NEVER disclose the personal information you entrust us with to 3rd parties without your consent, including advertisers (we display NO AD NETWORKS OF ANY KIND on our websites), and will warn you when 3rd party features may directly collect your personal information!
    • You may contact us at any time to request a copy of your information on file with us and we will supply that information to you via an industry standard compressed file folder format within 72 hours, so long as you provide us with enough information to properly identify you in our records to complete the request.​
    • You may also request that we delete all of the information we have on file for you and this will be completed within 5 business days. However, it is important to note that the following information cannot be “deleted” from our records while you are a current subscriber, as this information is provided by AWS to us for the purposes of billing and support in our standard reporting systems. You will need to contact AWS directly to have personal information scrubbed from those records according to their own policies:
      • State/Country​ for tax compliance
      • Size, number of instances, and total hours ran
      • AWS Subscriber ID #
  3. We will NEVER spam your phone numbers or email addresses! While you may OPT-IN to our email alerts and announcements, we will only send urgent/important information and we will NEVER allow others to send unsolicited messages on our behalf!
    • ALL email communications from us will originate via an @thewebmachine.net email address and we will never ask you to directly provide sensitive information, like passwords, via email.​ 

There is only ONE EXCEPTION to the above, as we are governed by the laws of the United States of America:

  • We will comply with constitutionally legal subpoenas or court orders requiring us to hand over information on a person or persons of interest for the purposes of law enforcement against illegal activities. We WILL, however, exercise any and all legal remedies afforded to us to protect the privacy of our customers, our company, and its employees beyond this limited circumstance.
  • We have never shared any customer information with a government or law enforcement agency. We won’t be able to tell you if we do, but a future version of this privacy policy would preclude this line, if factually necessary.

CALIFORNIA, USA RESIDENTS:

  • We exceed the California Consumer Privacy Act (CCPA) compliance requirements by never voluntarily obtaining from or sharing customer data with any 3rd party in accordance with our policies outlined above.
  • We are entirely opted out of AWS Customer Account Data Collection and do not intentionally retain the Names, Addresses, or other information about our standard Subscribers. We, instead, only receive the basic billing details outlined above and usage information in an ephemeral manner from billing cycle to billing cycle.
  • Consequently, there is no need to contact us to file a Do Not Sell My Data request.
  • While we host most of our services in-house on private systems (phone systems, live chat and ticketing, schedulers, etc), which allows us total control over the stability of services as well as the security and privacy of your data (and OURS!), there are some services we utilize from 3rd parties.
  • You may contact us if you want assistance initiating Right To Access and/or Right To Be Deleted requests to any or all 3rd parties you may have come into contact with during your time with TheWebMachine Networks. These 3rd parties may include:
    • Wix.com – Our FORMER Web Host, Online Paid Support Storefront, and Scheduling Portal, which we stopped using in April 2026. We will permanently purge all data ACCESSIBLE TO US from the host before 2026-12-31. Wix may have retention policies that survive our ability to purge your data. Any relevant CURRENT customer data from the old Paid Support system has been migrated to our new private platform for better control over that data. Paid Support Customers with no account activity since 2025-04-01 were NOT automatically migrated to our new platform and historical data about purchases and credit usage has been deleted.
    • PayPal – Our Payment Processor for Paid Support Credit Purchases
      • Google (via PayPal) – For processing Google Pay payments for Paid Support Credit Purchases AND reCaptcha Anti-Spam for the Cart and Checkout experience, as is required by PayPal, Visa, MasterCard, and other payment networks you might attempt to utilize.
      • Apple (via PayPal) – For processing Apple Pay payments for Paid Support Credit Purchases
      • YOUR OWN BANK NETWORK – This seemingly goes without saying, but it is important to note that we have also enabled 3D Secure (3DS) for added protection of your financial data. This may result in your bank asking for additional direct validation during the checkout process.
    • Amazon Web Services – Where you host your AWS FreePBX® Instances
    • FlashIssue.com – Our Updates Mailing List Provider, if you’ve subscribed to the Updates Mailing List
    • Sangoma When you Activate your FreePBX® instance and purchase Commercial Module Licenses, both of which require creating a Sangoma Portal account

Registration and Login:
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you register for an account, we will collect the following information:

  • Email Address – This is also your login to our website
  • First and Last Name
  • Phone Number (optional)
  • AWS Account ID # – To validate your subscription to our product(s)

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Cart and Ordering:
We’ll also use cookies to keep track of cart contents while you’re browsing our site. When you purchase from us, we’ll ask you to provide additional information including your billing address and credit card/payment details. We’ll use this information for purposes, such as, to:

  • Comply with any legal obligations we have, such as calculating taxes
  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud

We generally store order information about you for as long as we need the information and until we are no longer legally required to keep it. For example, we will store order information for 7 years for tax and accounting purposes. This includes your name, email address, billing address, items ordered, and amount paid.

Payment Processors:
We accept payments through PayPal. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information. If you choose to use Google Pay or Apple Pay for that PayPal transaction, your information will also be sent to Google or Apple to process your payment details according to their own policies. Please see the PayPal Privacy Policy for more details.

Chat and Tickets:
When you use the Chat and/or Ticket features, the following data is collected and stored by us:

  • Messages you send, including text content and file attachments
  • Conversation participation records (who you are in conversation with)
  • Message delivery and read timestamps
  • Your online status and last activity time

A copy of your recent messages and conversation data is cached in your browser (IndexedDB) for faster loading and possibly your email inbox, assuming you haven’t turned off email notifications. This data stays on your device and is not shared. You can clear it by clearing your browser data. A copy of your Chats and Tickets are also stored on our servers for up to 1 year.

Right to Access/be Deleted:
If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

To request an export of your data or deletion of that data from our systems, please email awsfpbx@thewebmachine.net with the subject line “Right to Access” or “Right to be Deleted” for priority processing. You may be required to validate your identity before we’ll provide or delete the data you are claiming ownership over.
